Job description

The Technical Document Controller has overall responsibility for the administration of the technical document management system 


Responsibilities : 

  • Act as subject matter expert for company in all aspects of information and document – records management
  • Develop & administer relevant document management tools, templates, and procedures to support key stakeholders in the document management processes
  • Develop & administer Key Performance Indicators (KPI) to monitor performance of document management system, with periodic review and recommendation of improvement opportunities
  • Administrate Engineering Management of Change (MOC) process
  • Administer Alerts Advisories and Bulletins (AAB) process
  • Support new build project team in the development of document control procedures for new build rigs to ensure efficient handover of documentation to operations. Including but not limited to the control of equipment manuals, certificates, and drawings
  • Support reactivation project team and rig management with development of document control procedures for reactivation, and special periodic survey projects. Including but not limited to rig and equipment certification, and third-party service reports
  • Support marketing activities with development of document control procedures for management of IADC equipment list, and rig specifications, as well as ad-hoc requests for tendering activities, and client audits
  • Support administration of rig equipment and systems related data as Drawings, Manuals, Reports, Certification etc.
  • Support audits and audit findings administration (Client, Local State – Government, Regulatory bodies, ISO etc.).
  • Support administration of maintenance documentation, such as maintenance checklists, registers, standards, and forms
  • Support with ad-hoc documentation retrieval requests from onshore or offshore personnel
  • Support marine compliance activities for class, flag, and statutory tracking and auditing, and control of Marine Operations Manuals
  • Occasional rig (shipyard), or project site visits to setup document control processes
  • Support with application of company retention code for archiving of documents and records in accordance with applicable laws.
  • Responsible for your work area and equipment with regard to own safety and that of others
  • Ensure accurate, clear and consistent communication with system, document and process control stakeholders
  • Take personal responsibility for own continued professional development and undertake any training as required
  • Perform other duties, complete additional tasks and support ad hoc projects as required


Job requirements

Qualifications : 

  • Understanding of relevant industry standards, such ISO 15489 information and document – records management
  • Awareness of Mobile Offshore Drilling Unit (MODU) classification society requirements
  • Awareness of statutory requirements for documentation in highly regulated areas, such as United Kingdom & EU
  • Basic understanding of technical documents such as hydraulic and pneumatic schematics, electrical one-line-diagrams, and auto-CAD drawings
  • Experience with drilling rig operations in relation to documentation and records required; for example Work Instructions, Health Safety and Environmental (HSE) Case and Written Scheme of Verification (WSV), Environmental reporting, Personnel OnBoard (POB) lists, Dropped Object inspections (DROPS), and IADC drilling reports
  • Basic understanding of project, and operations management 


Skills : 

  • Experience with document management systems
  • SharePoint and other cloud-based document management systems
  • Excel and other Microsoft office-based systems
  • Enterprise Resource Planning (ERP) and Computerized Maintenance Management System (CMMS)
  • Incident reporting system
  • Working with diverse international, remote teams
  • Experience with class, flag, and statutory audits
  • Experience working in project teams
  • Use of document transmittals
  • Use knowledge to develop appropriate metadata schemas for documentation and records
  • Excellent written and spoken English
